Reflection guide / process documentation template / mentoring support
Purpose
This tool helps facilitators and mentors connect collective action with reflection by tracking how activities, contexts, and community responses (“echoes”) evolve over time. It supports ongoing learning, shared responsibility, and the documentation of both practical and narrative dimensions of group processes.
The tool is used throughout the project, particularly during implementation and reflection phases of collective action or artistic mentoring processes. It is filled in regularly (e.g. weekly or after key sessions) to support continuity and learning over time.
Instructions for use
At the end of each working session, gather the group (or use individually if needed).
Document the main action: what was done, discussed, or produced.
Record the context: who was involved and what external conditions influenced the process.
Identify the echoes: unexpected reactions, responses, or effects from the group, community, or space.
Add a reflection: what was learned and what should be adjusted or continued.
(Optional) Update responsibility tracking to clarify roles and next steps.
Notes for facilitators
This tool is not a reporting form but a reflective process instrument and it should remain flexible as well as adapted to group dynamics. Encourage participants to treat “echoes” (unexpected or indirect responses) as valuable data, including silence or absence of response. The facilitator’s role is to support honest reflection, avoid over-interpretation, and ensure that responsibility and learning remain shared within the group.
